You Don’t Need a Bigger Budget—You Need a Better Plan
If you’ve ever planned an event and thought, “We just need more people to show up,” you’re not alone.
For most chapters, the challenge isn’t lack of effort—it’s lack of time, resources, and sometimes…a clear plan.
The good news?
You don’t need a marketing budget to improve attendance. In fact, some of the most effective strategies are completely free—you just need to use what you already have more intentionally.
Below are 7 simple, practical ways to increase attendance at your next event—without spending a dollar.
Personal Outreach from Chapter Committee Members
This is one of the most effective (and most overlooked) strategies.
A personal invitation will almost always outperform a general email.
Instead of relying only on your chapter email list, ask each committee member to:
Simple message example:
“Hi [Name], I wanted to personally invite you to our upcoming AMPP [Chapter Name] event on [date]. I think you’d really get a lot out of it—would love to see you there!”
It doesn’t need to be formal. It just needs to feel personal.
Re-Engage Past Attendees
If someone has attended one of your events before, they’re much more likely to attend again.
Instead of starting from scratch every time:
Example:
“We loved having you at a previous event and wanted to invite you back! We have a great session coming up on [topic]…”
A small nudge can make a big difference.
Be Clear on the Value (Not Just the Details)
One of the most common mistakes is focusing only on logistics:
But what people really care about is:
Why should I attend?
Make sure your event description answers:
Before:
“Join us on May 10 at 6 PM for our monthly meeting.”
After:
“Join us on May 10 to learn how to extend asset life and reduce maintenance costs—perfect for inspectors, engineers, and anyone working in corrosion and coatings.”
Clear value = higher attendance.
Create a Sense of Urgency
People are busy—and they tend to wait.
Until they forget.
Creating urgency helps move people from “maybe later” to “I’ll register now.”
Try adding:
Use this in:
Even a small sense of urgency can increase registrations.
Send a Simple Reminder Email (Yes, It Matters)
Most people do not register the first time they see your event.
That’s normal.
That’s why reminder emails are so important.
What to send:
Keep it short and focused:
These emails often drive some of your highest conversions.
Post More Than Once on Social Media
Posting once is not enough.
Most people won’t see it the first time—and even if they do, they may not act on it.
Instead, aim for 2–3 posts leading up to the event, each with a slightly different angle:
Focus on:
You don’t need new content each time—just tweak the message.
Partner With Local Companies or Organizations
You don’t have to promote your event alone.
Partnering with:
…can instantly expand your reach.
The key is to make it easy for them.
Provide:
Example:
“We’d love if you could share this with your team—here’s a quick post you can use.”
When you remove the effort, people are much more likely to help.
Before you do anything else, take a quick look at your registration process.
Ask yourself:
Even small friction points can reduce attendance.
The easier it is to register, the more people will follow through.
If this feels like a lot, here’s the good news:
You don’t need to do all 7 things.
Start with 2–3 strategies for your next event:
That alone can make a noticeable difference.
Consistency matters more than perfection.
Before your next event, ask yourself:
✔ Did we personally invite a few people?
✔ Did we reach out to past attendees?
✔ Is our event description focused on value?
✔ Did we send at least one reminder email?
✔ Did we post more than once on social?
✔ Did we ask a partner to help promote?
✔ Is registration quick and easy?
When you focus on simple, intentional actions like these, you’ll start to see stronger attendance—without needing more time or money.
And that’s a win for everyone.
