Between selecting topics, coordinating speakers, managing sponsorships, and keeping everything on schedule, it’s easy for the workload to fall on just one or two dedicated volunteers.
The good news? A successful conference doesn’t depend on one person doing everything. It depends on building the right team and giving that team clear roles and responsibilities from the start.

Responsible for building a high-quality, balanced technical program. This includes overseeing abstracts, working with session chairs, and ensuring presentations meet expectations.

Session Chairs / Technical Committee Members
These volunteers support the technical program by reviewing abstracts, managing sessions, and helping speakers prepare for successful presentations.

Exposition and Sponsorship Leadership
Focused on securing exhibitors and sponsors, coordinating deliverables, and—when partnering with HQ—working with AMPP sales and sponsorship teams.
Not every chapter needs a different person for every role, especially for smaller events. What matters most is that every responsibility has a clear owner.
Best Practices for Recruiting the Right Volunteers
One of the biggest barriers to building a committee is simply asking for help. Clear roles make that easier.
A few tips that work well:
- Match roles to strengths (technical members for program roles, outgoing members for sponsorship outreach)
