How to Know If Your Chapter’s Marketing Is Working, Part 3: A Simple Way to Track Results and Improve Your Events

    In Part 1 of this series, we talked about starting with the right goal:

    If your marketing works, what should people do?

    In Part 2, we covered the five key metrics that help you answer that question:

      • Registrations
      • Attendance
      • Email opens
      • Clicks or responses
      • Engagement over time

    Now comes the part that often feels the most intimidating—but doesn’t have to be:

    How do you actually track this… and what do you do with it?

    The good news is this:

    • You do not need new tools.

    • You do not need a complicated system.

    • And you definitely do not need to become a data expert.

    You just need a simple, repeatable way to capture a few key pieces of information—and learn from them.

    Start Simple: You Don't Need Fancy Tools

    One of the biggest misconceptions about marketing is that you need sophisticated platforms or dashboards to understand performance.

    For most chapter leaders, that is not true.

    You can track everything you need using:

      • A basic spreadsheet (Excel or Google Sheets)
      • Your event platform reports
      • Your email platform summary
      • Even a simple notes document

    The goal is not to build a perfect system.

    The goal is to create a consistent habit of looking at what happened and capturing a few key takeaways.

    Consistency will give you far more value than complexity ever will.

    The Simplest Way to Track Your Marketing

    After each event, take 5–10 minutes and write down just a few things.

    At a minimum, track:

      • Event name and date
      • Number of registrations
      • Number of attendees
      • One or two notes about what worked (or didn’t)

    That’s it.

    You do not need a long report. You do not need charts.

    Just a simple record.

    You might have a simple table that looks like this:

    This kind of tracking gives you something incredibly valuable:

    Context.

    Instead of guessing why something worked (or didn’t), you start seeing patterns.

    What to Look For: Patterns, Not Perfection

    When you review your events over time, you are not looking for perfect numbers.

    You are looking for patterns.

    Ask yourself:

      • Do events with earlier promotion perform better?
      • Do reminder emails improve attendance?
      • Do certain topics consistently attract more interest?
      • Are certain days or times more successful?
      • Are the same people attending—or are new faces showing up?

    These patterns are where your real insights come from.

    Not one event. Not one email.

    Patterns over time.

    What to Do with What You Learn

    This is the step that turns information into impact.

    Once you start seeing patterns, use them to guide your next decision.

    A simple way to think about it is this:

    If it worked → do it again

        • Did early promotion increase registrations?
          → Start earlier next time
        • Did a specific topic draw a strong audience?
          → Consider similar topics

    If it didn’t work → change one thing

            • Low registrations?
              → Adjust your messaging or start earlier
            • Low attendance?
              → Improve reminders or clarify expectations

    The key here is one change at a time.

    If you change everything at once, you won’t know what actually made the difference.

    If you’re unsure → test something small

      • Try a different subject line
      • Send your email at a different time
      • Add one additional reminder
      • Highlight a different benefit of the event

    Small experiments help you learn without adding pressure.

    Common Improvements That Make a Big Difference

    The good news is that most chapter marketing challenges can be improved with a few simple adjustments.

    Here are some of the most effective ones:

    1. Promote earlier

    Many events struggle simply because people didn’t have enough notice.
    Even a few extra days can make a significant difference.

    2. Send reminders

    A single reminder email 24–48 hours before the event can dramatically improve attendance.

    People are busy. Reminders help.

    3. Clarify the value

    Instead of just stating what the event is, explain what attendees will gain.

    For example:

      • What will they learn?
      • Who will they meet?
      • Why does it matter?

    4. Simplify your message

    Avoid overwhelming your audience with too much information.

    Focus on:

      • What it is
      • Why it matters
      • What to do next

    Clarity increases action.

    A Realistic Approach for Busy Chapter Leaders

    It is important to say this clearly:

    You do not need to do everything perfectly.

    You are a volunteer leader. You have limited time. You are balancing multiple responsibilities.

    This approach works because it is lightweight and realistic:

      • Track a few things
      • Look for patterns
      • Make one small improvement next time

    That’s it.

    That is how strong chapter marketing is built—not through perfection, but through consistency.

      • Observant
      • Consistent
      • Willing to make small adjustments

    Over time, those small adjustments lead to stronger events, better engagement, and a more active chapter.

    A Simple Action to Try This Month

    After your next chapter event, take 10 minutes and write down:

      • Registrations
      • Attendance
      • One thing that worked
      • One thing you would change

    Do this for a few events in a row, and you will start to see patterns.

    And once you see patterns, you will know exactly what to do next.
